Planning and Preparation

General assistance on planning the timeline of the event, then create timeline.
Venue walk through, plan the flow of the event.
Provide venue rules and restrictions to all vendors.
Create vendor list with contact information, setup times, provide to all necessary parties.
Distribute loading instructions and site map as needed.
Day of Event Coordination
Contact all vendors the week prior to the event to ensure arrival times and set-up instructions
Provide timeline to all vendors
Oversee all vendor commitments and responsibilities upon their arrival.
Ensure floral arrangements and personal flowers are delivered for photos.
Coordinate event program with master of ceremony and music.
Inform key participants as to what is required, and then keep them on task and on schedule.
Assisting in the seating of guests in the appropriate places.
Oversee set-up, layout and design of cocktail hour and reception.
Make certain all tables are set correctly for décor and number of place setting per seating plan.
Ensure cocktails and hors d’oeuvres are ready to serve to guests on arrival to reception.
Coordinate reception activities with banquet manager, photographer, music/video.
Oversee and troubleshoot any issues during the event.
